Mail, calendar, and meetings

Your Joshu reads your connected mail and calendar, and it schedules meetings for you when you copy it on an email thread.

User manual: all pages

Your companion reads your connected mail and calendar, keeps your projects up to date, and arranges meetings for you. Connect your work mail and calendar first (see Getting started).

What your companion does with your mail

About every 10 minutes, your companion looks at new mail in your inboxes and in its own inbox. It ignores newsletters and junk. For each email that matters, it files the email into the right project and notes what happens next, for example "waiting for Sam's answer about the budget." See Where your companion keeps its work.

Your companion acts on an email thread only when you include it: when it is in To, CC, or BCC, or when you write in the email that it will help, for example "copying my assistant Mina" or "Mina will help us find a time." Otherwise it only files the email and keeps track of it.

You can read your companion's inbox and your connected inboxes in the jMail app.

Schedule a meeting

To schedule a meeting, copy your companion on the email, for example:

Hi Alex, great to meet you. I'm copying Mina, who will find a time for us next week.

Your companion then checks your calendar and does one of these things:

  • books the meeting, sends the calendar invite, and confirms by email;
  • sends the other person some times that work for you, and waits for the answer;
  • asks you, when it needs your decision (for example, to move another meeting).

Joshu runs my box

Before your companion sends an email or a calendar invite to somebody outside, it asks for your approval by text (see Safety and approvals). It also copies your work email, so you see each message.

I run my own box

When approvals are on, your companion asks for your approval by text before it sends an email or a calendar invite to somebody outside. On a self-hosted box, approvals are off until you turn them on, and they need text messages through your Twilio number (see Safety and approvals). Your companion also copies your work email, so you see each message.

Ask your companion by email

You can also email your companion directly with a request, for example "Please make a one-page summary of the Harbor contract." Your companion does the work and replies in the same thread, with a file attached when that helps. A reply of only "Thanks" or "OK" needs no answer, so your companion does not reply to it.

Your calendar

Your companion knows your calendar, so you can ask "What do I have tomorrow?" or "Find me two free hours on Thursday." Your companion also does not interrupt you with reminders while you are in a meeting.

Next: Reminders, nudges, and daily briefs.
